What is the new patient process?

New patients begin with an initial intake visit to review symptoms, concerns, and goals, and to ensure our practice is the right fit. Initial recommendations are discussed, and comprehensive labs are ordered based on individual needs.

The initial intake visit is $100. A follow-up visit is then scheduled to review baseline lab results in detail and develop a personalized care plan.

Do you offer in-person and virtual appointments?

Yes. We offer both in-person and virtual appointments. Visit type is determined based on your needs, preferences, and the nature of care being provided. Many visits can be completed virtually, with at least one in-person visit recommended annually as part of comprehensive care.

What payment methods do you accept?

We accept major credit and debit cards, as well as Health Savings Account (HSA) and Flexible Spending Account (FSA) cards for eligible services.

Do you accept insurance?

Vitora Medical is a cash-based practice and does not bill insurance for medical visits. This allows us to provide personalized, unrushed care without insurance-driven limitations.

Some laboratory testing and commercially available medications may be billed through insurance when appropriate, subject to individual plan benefits, deductibles, and coverage. Health Savings Accounts (HSA) and Flexible Spending Accounts (FSA) may be used for eligible services.

Can I use insurance for labs and medications?

Yes, in some cases. Laboratory testing ordered through Quest Diagnostics may be billed to insurance based on your individual plan benefits. Commercially available medications filled through retail pharmacies (such as CVS, Walgreens, or Kroger) may also utilize insurance when covered.

Compounded medications are not covered by insurance; however, HSA/FSA funds may be used when eligible. Medication recommendations are based on what is most appropriate for your condition, with cost-effectiveness considered whenever possible.

Patients are responsible for understanding deductibles, co-pays, and coverage limits. Coverage is not guaranteed. Exploring cash-pay options such as GoodRx is encouraged when helpful.

Do I need a membership to receive care?

No. Memberships are not required to receive care at Vitora Medical. Patients may choose visit-based care or explore cost-effective bundled treatment plans when appropriate.

What are typical costs for labs, appointments, and treatment?

Costs at Vitora Medical vary based on individual needs and the level of care recommended. To help set expectations, typical ranges are outlined below:

  • Laboratory testing paid through the clinic generally ranges from $150 for follow-up panels to $250 for comprehensive baseline or annual panels.
  • Appointments typically range from $150–$300, depending on visit length and the extent of clinical evaluation and lifestyle coaching needed.
  • Compounded hormone replacement medications average approximately $400 for a four-month supply when indicated.

Costs may be reduced when insurance is used for eligible labs or commercially available medications. All recommendations and anticipated costs are reviewed prior to moving forward so patients can make informed decisions.

How do I schedule or reschedule an appointment?

Initial intake visits may be scheduled online or by phone. Ongoing appointments are typically scheduled at the conclusion of each visit to support continuity of care and consistent progress. If rescheduling is needed, our team can assist.

What is your cancellation or rescheduling policy?

We encourage patients to keep scheduled appointments whenever possible to support continuity of care. Because appointment availability is limited and there is often a waitlist, rescheduling may result in delayed care or interruptions in medication management.

Appointments cancelled with less than 48 hours’ notice are subject to a $30 cancellation fee. A card on file is required to schedule follow-up and ongoing visits and will be charged for late cancellations.

Where do I get my labs drawn?

All labs are ordered through Quest Diagnostics at this time. Patients may have labs drawn at a Quest location or, when available, in-office during limited lab draw times on Tuesdays and Thursdays.

Outside lab results may be appropriate if completed within the past 3–6 months, depending on what testing is available. Outside labs should be submitted at least 48 hours prior to the initial intake visit for review. When sufficient information is provided, outside labs may help expedite care; additional testing may still be recommended as needed.

We are also able to review select comprehensive testing, including Function Health panels and DUTCH hormone testing, when available.

When should I complete labs before my appointment?

Labs are typically ordered during the initial intake visit and at most follow-up visits. To allow adequate time for results to be reviewed, labs must be completed 7–10 days prior to your next scheduled appointment.

Labs should be drawn fasting and before 9:00 AM. If you have regular menstrual cycles, hormone labs should be drawn between cycle days 18–20 unless otherwise directed.

In general, creatine supplements and strenuous exercise should be avoided for 24 hours prior, and biotin should be stopped at least 3 days before labs. Additional instructions may be provided depending on therapy.

What happens if my labs are not completed on time?

Appointments will be kept whether or not lab results are fully available to help avoid delays in care. However, without complete results, assessment and treatment adjustments may be limited.

Additional appointments and associated costs may be required to complete a full lab review once results are received. Patients are encouraged to schedule lab appointments in advance to align with follow-up visits.

How do prescription refills work?

Prescription refills are typically reviewed and managed during scheduled follow-up appointments. Refill requests made outside of scheduled visits are subject to a $35 refill fee.

Keeping follow-up appointments aligned with your treatment plan helps avoid interruptions in medication access.

How do supplements work, and where should I order them?

Recommended supplements can be ordered through our online dispensary via Fullscript, linked on our website. Fullscript provides access to professional-grade supplements, a 20% patient discount, and free shipping on most orders.

While patients may use supplements from other sources, we are unable to safely verify the quality or potency of all outside products and cannot review extensive supplement lists. To ensure safety and consistency, we strongly encourage use of vetted supplements we recommend through Fullscript.

How do we communicate between visits?

Secure communication between visits is handled through the patient portal, which is the most efficient way to reach our team and helps avoid delays or phone tag. As a small practice focused on personalized care, our staff may not always be immediately available by phone while assisting other patients.

Portal messages allow us to review requests thoughtfully and respond appropriately. If direct contact is needed, a member of our team will call you back.
